Rolling In the Screens: One Tech, One Room, One Goal

Bringing the new B-side boardroom to life—just one tech, one setup, and one goal: a flawless May 19 Board Meeting.

The May 19 Board Meeting is just around the corner, and I’ll be handling the full setup solo. This time, the meeting’s happening in the newly constructed B-side board room, which is getting its first real test run for a major meeting. I’ll be setting everything up on Monday morning to make sure we’re good to go.

Big Screens for a Big Room

To help everyone follow along easily, I’ll be bringing in two 86-inch TVs on rolling stands—one for the board room and another for the closed conference room. These will make sure presentations and remote participation run smoothly.

Temporary Network, Fully Connected

I’ll also be setting up temporary network connections in:

  • The new board room
  • The closed conference room
  • The multimedia room

This involves running a 100-foot Ethernet cable from the A-side network closet to a switch in the new server room. Everything will be secured and any exposed cables will be properly covered to avoid tripping hazards.

Audio-Visual Setup That Works

Here’s the plan for AV:

  • The board room will use two OWL cameras to handle both video and audio during the meeting.
  • The closed conference room will have a webcam and Bluetooth microphones to support the private session.

This setup should make hybrid participation smooth for both in-person and remote attendees.

Layout and Final Touches

I’ve got the seating layout ready, so everything—from screens to cameras—will be positioned for the best visibility and access. It’s all about making sure things run smoothly in the new space.

It’s a big lift for one person, but everything’s mapped out. The goal is to have the new B-side room fully ready, connected, and set up to support a productive and professional board meeting.
